Position Summary
We are seeking a detail-oriented AP/AR Clerk with Staff Accountant responsibilities to support our growing operations. This role is responsible for managing accounts receivable and accounts payable functions, with a strong emphasis on project-based accounting, and job costing. The ideal candidate keeps meticulous records, has experience in the AEC industry, looks to improve processes, and can assist with financial reporting and month-end close. This position will report to the Accounting Manager.
Duties Include:
- Monitor accounts receivable aging and follow up on outstanding balances
- Apply cash receipts and reconcile AR subledger to the general ledger
- Work with project managers to resolve billing discrepancies and support collections
- Maintain accurate client, contract, and billing records
- Process vendor and subcontractor invoices with proper job cost coding
- Ensure compliance with contract terms, including lien waivers and insurance requirements
- Prepare and process weekly payment runs (checks, ACH, wire transfers, per diems)
- Maintain vendor/subcontractor records and respond to inquiries
- Reconcile AP subledger to the general ledger
- Track and manage subcontractor retainage and releases
- Assist with month-end and year-end close, including accruals and adjusting entries
- Assist in the preparation of internal financial statements and management reports
- Provide support for external audits and financial reviews
- Provide phone reception between 3:30 and 5 pm, daily.
Experience and qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, or related field
- 1–3 years of accounting experience, preferably in the AEC industry
- Strong understanding of job costing, progress billing, and retainage
- Familiarity with accounting principles (GAAP) and revenue recognition practices
- Experience with AEC/accounting software (e.g., Unanet, Sage 300 CRE, Deltek, Viewpoint, or similar)
- Advanced Excel skills (pivot tables, lookups, data analysis)
- High attention to detail, organization, and ability to manage multiple projects
- Strong communication skills and ability to work with project managers and field teams
Preferred Qualifications
- Experience with multi-project or multi-entity environments
- Knowledge of construction contracts and compliance requirements
- Prior experience supporting audits or financial reporting in AEC firms
- Prior experience with Federal Acquisition Regulation (FAR) guidance
Job Type: Full-time, non-exempt
Starting Wage: $27-32 an hour

- 8-hour shift, overtime as needed
- 8:30 am to 5:00 pm
